About the role 

We are currently seeking a highly motivated Operations Associate to play a central role in supporting the CPI US team.

Reporting directly into the Operations Manager, this role will provide critical administrative and operational support to the CPI US team and Director.

Roles and responsibilities 

The Operations Associate will perform internal and external operations tasks including but not limited to:  

Office Management:  

  • Oversee the day-to-day US office management, including managing office supplies and related expenses; facilities, and ensuring a safe and welcoming workplace; 
  • Serve as main focal point for all Office queries and maintain relationship with external Office Management provider 
  • Working closely with the London Operations team to ensure new starters have equipment 
  • Manage all CPI US invoicing for office, benefits, legal, and other local vendors; 
  • Day to day and Project IT support as required; 
  • Undertake and support special projects as required. 

Administrative Support: 

  • Contribute to the creation and embedding of standard procedures across the office, with an eye to seeking out improvements to existing processes.  
  • Lead on the US office month end close activities – timesheets, expenses and invoices. 
  • Act as first point of contact for all US operational processes queries including timesheets and expenses or other organization systems 
  • Provide comprehensive administrative support to the US office director, including travel, expense and schedule coordination / management, expense management, and special projects as required  
  • Maintain vendor/suppliers database and subscriptions management for US office. 
  • Assist with internal and external events planning and coordination including team celebrations when required 
  • Provide support to the US offices during busy periods  

HR Administration: 

  • Support the HR Generalist with the recruitment, on/offboarding of US team. This includes: 
  • Posting roles onto Job boards/BambooHR 
  • Interview scheduling 
  • Reference checking 
  • Support with Onboarding new joiners, including IT equipment and system log ins   
  • Benefit Administration 
  • System set up and induction for new joiners 
  • Assist with internal and external events planning and coordination including team

About you 

Essential:

  • You are committed to CPI’s mission and values; 
  • Familiarity with Microsoft Office Suite is essential for this role
  • You are detail oriented and have strong organizational skills
  • You are an excellent writer and communicator;
  • You are willing to ask for help;
  • You enjoy working with others;
  • You are self-motivated with a passion for learning;
  • You are flexible and willing to jump into tasks as needed;
  • Written and spoken fluency in English is required.

Beneficial:

  • Experience (including voluntary) working in not-for-profit operations, administration or programmes;
  • Experience working in consulting and/or matrixed organizations;

Position Details 

CPI is recruiting for one full time position to be based in our US office, either in Washington, DC or San Francisco, CA.  CPI has adopted hybrid working whereby staff are able to work a mix of remote and in the office.   

The salary range for this position is $62,000 – $72,000 per annum. 

CPI salary offers are determined by the level of skill and experience demonstrated by the selected candidate as well as alignment to internal equity and external market levels.

CPI also offers a highly competitive benefits package which includes a generous 401(k) contribution and PTO provision.
